Registration Terms & Conditions


These Terms & Conditions apply to all registrations for the 28th IIBA International Conference. By registering for the conference, participants agree to these Terms & Conditions.

Registration

  • All registrations must be completed through the official conference registration website.
  • Registration is confirmed only upon receipt of full payment.
  • Early registration rates are available only during the published registration period.
  • Registration fees are quoted in Euro (€). Payments in other currencies cannot be accepted.

 

Payment

Payment must be received within 5 working days of registration unless otherwise stated during the registration process.
 

 

Payment Methods

Payment may be made by:

  • Credit Card (Credit card payments are processed through a secure online payment platform.)
  • Bank Transfer (For payments by bank transfer: All bank charges are the responsibility of the participant. Please include the conference name, participant's full name and registration ID as payment reference. Registration will only be confirmed after payment has been received.)

 

Registration Categories

  • Participants are responsible for selecting the correct registration category.
  • Where membership or student/trainee status is required, the conference organizers reserve the right to request proof of eligibility at any time before or during the conference.
  • If a participant registers under an incorrect category, the organizers reserve the right to invoice the participant for the difference in registration fees before confirming participation.

 

Admission Badges

Participants must wear their conference badge at all times during the event.

The badge grants access only to the activities included in the participant's registration and is required for entry to: Plenary sessions, Workshops, Catering areas, Social events, included in the registration.

Badges are personal and non-transferable.

 

Mobile Phones

  • Participants are kindly requested to switch mobile phones off or place them in silent mode during all conference sessions.

 

Photography & Video Recording

  • Photographs and video recordings will be taken throughout the conference for documentation, promotional and educational purposes by the IIBA.
  • By attending the conference, participants acknowledge that they may appear in photographs or recordings used in print, digital media, websites and social media.
  • Participants who do not wish to appear in photographs or recordings should notify the conference organizers at the registration desk upon arrival. Every reasonable effort will be made to accommodate such requests.

 

Dress Code, Pillow and Towel

The conference dress code is informal, including the Welcome Reception and Conference Party.

As meeting room temperatures may vary, participants are encouraged to bring a light jacket or sweater.

Since many workshops involve movement and floor-based exercises, participants are also encouraged to wear comfortable clothing and to bring: a towel, a small pillow or cushion and yoga mat (optional) for additional comfort during practical sessions.

 

Certificate of Participation

  • Certificates of Participation will be sent electronically to participants after the conference.

 

Cancellation and Refund Policies


All cancellation requests must be submitted in writing by email to: angelica.ruivo@abreu.pt. (Please include your registration ID. The effective cancellation date is the date on which the written request is received.)

 

Refund Policy

  • Refunds will be processed after the conference. The following cancellation conditions apply:
  • Cancellations received up and including January 31, 2027: full refund less 60,00 € administrative charge applies.
  • Cancellations received between February 1, 2027 until April 30, 2027: 50% refund of the registration fee plus 60,00 € administrative charge.

After May 1, 2027: no refund will be made. 

Failure to attend the conference does not entitle a participant to any refund.

 

Registration Transfer

  • Registrations may be transferred to another person within the same registration category until 30 April 2027. 
  • Transfer requests must be submitted by email to: angelica.ruivo@abreu.pt 
  • An administrative fee of 60,00 € will apply.
  • If the replacement participant belongs to a different registration category or registration period, any difference in registration fees must also be paid.

 

Programme Changes

The organizers reserve the right to modify the conference programme, speakers, schedule or venue if necessary. Such changes shall not entitle participants to a refund.

 

Privacy & Data Protection (GDPR)

Personal data collected during registration will be processed solely for the purposes of organizing and administering the conference.

Data will be processed in accordance with the EU General Data Protection Regulation (GDPR) (EU) 2016/679.

Participant information will not be shared with third parties except where necessary for conference administration (e.g. registration management, venue management or payment processing), or where required by law.

Conference Cancellation / Force Majeure

Should the conference be cancelled, postponed or substantially modified due to circumstances beyond the reasonable control of the organizers ("Force Majeure"), including but not limited to natural disasters, pandemics, war, civil unrest, strikes, governmental restrictions, power failures or other unforeseen events, the organizers shall not be liable for any indirect or consequential losses incurred by participants.

Where possible, registration fees will be refunded or transferred to a rescheduled event, after deduction of unavoidable costs already incurred.

The organizers are not responsible for participants' travel, accommodation or other personal expenses.

 

Insurance & Liability

The safety and well-being of our attendees is our top priority. Nevertheless, the IIBA does not assume any liability whatsoever. Participants are responsible for arranging their own:

  • Travel insurance
  • Health insurance
  • Accident insurance
  • Cancellation insurance

The IIBA, the conference organizers and the conference secretariat shall not be liable for any personal injury, illness, loss, theft or damage to personal belongings occurring during or in connection with the conference, except where liability cannot legally be excluded under applicable law.

 

Health & Participation

Some conference sessions include physical movement, breathing exercises and experiential activities. By participating, attendees acknowledge that they do so voluntarily and accept responsibility for exercising within their own physical and emotional limits. Participants should consult a healthcare professional before attending if they have any medical condition that may affect their ability to participate safely.

 

Fraud Warning

Please be aware of fraudulent websites, accommodation providers and travel agencies claiming to represent the conference.
Conference registration is available only through the official conference website.

Accommodation bookings should be made only through the official ABREU Events Reservation System.
